What you'll accomplish
Paste any section of your student/family handbook into Claude with a description of your policy changes, and you get back a revised version in the same tone, format, and reading level as the original. Annual handbook updates that used to take 2 to 3 full days of careful editing take a few focused hours instead. You'll also build a process for checking the full handbook for conflicts after updating individual sections.
What you'll need
Open your current handbook in Google Docs or Word. Make a backup copy first: File, Make a copy, label it "Handbook [year] pre-edit backup." Work on the copy, not the original.
Before opening Claude, write down all the changes you need to make. Example:

Go to claude.ai → New chat. You'll use a fresh chat for each section you're revising to keep contexts clear.
Before pasting any section, give Claude the context it needs with this opening message:
I'm going to ask you to help update sections of our charter school's student and family handbook. Here's what you need to know:
- This is a K-8 charter school serving 380 students, 78% free/reduced lunch
- Our handbook is written for families, so it should be clear and accessible — no legalistic jargon
- Reading level: approximately 8th grade
- Tone: warm but clear, authoritative but not intimidating
- When I give you a section to update, I'll also tell you what policy change to incorporate
- Please keep the format, headers, and tone consistent with what I paste
Ready? I'll start pasting sections.
Copy the attendance policy (or whatever section you're revising) directly from your handbook and paste it into Claude. Then on the same message, tell it what to change:
Here is our current Attendance Policy section:

Please rewrite this section to include: students who miss 10 or more days in a school year are required to participate in an Attendance Improvement Plan meeting with the school administrator. This meeting must occur within 5 school days of reaching the 10-day threshold. Keep all other language and formatting the same.
What you should see: Claude returns a revised version of your policy with the new requirement smoothly integrated.

When you're satisfied with the revision, copy the text from Claude and paste it into the corresponding section of your handbook document. Use Ctrl+H (Find and Replace) in Google Docs to verify the old language is fully replaced.
For each policy change, start fresh: paste the current section + describe the change needed. Claude maintains your context from Step 4 throughout the conversation.
After making all your changes, do a final consistency check. Paste the 2 to 3 sections you changed into a new Claude chat with this prompt:
I've just updated these sections of our family handbook. Please check if there are any contradictions or inconsistencies between them. Flag anything that might confuse a family reading the handbook:

[paste any other related sections]
For adding a new state law requirement:
Update this handbook section to incorporate the following new state requirement: [describe the requirement]. Keep all existing language intact; add the new requirement where it fits most naturally. Section: [paste text]
For simplifying legalistic language:
Rewrite this handbook section for families at an 8th grade reading level. It currently reads as if written by a lawyer. Keep all the substantive policy content but make it clear and accessible to parents who are not educators or legal professionals. Section: [paste text]
For drafting a new section from scratch:
Draft a new section for our student handbook about [topic]. Our policy: [describe your policy]. Format it to match this example section from our existing handbook: [paste a similar existing section]. Length: approximately [X words].
For conflict-checking after edits:
I've updated two sections of our family handbook. Check if there are any contradictions or inconsistencies between them that might confuse a family:
