What you'll accomplish
Raw classroom observation notes take 45 to 90 minutes to turn into formal, framework-aligned feedback. With this workflow, that same task takes 10 to 15 minutes. You'll clear the write-up backlog that's been keeping observation work in your evenings and weekends.
What you'll need
Your template should specify:
Draft template:
Convert these classroom observation notes into a formal observation write-up for [Teacher Name/Grade/Subject].
Framework: Use the Danielson Framework. Reference specific component numbers where applicable (e.g., 3b, 3c).
Structure:
1. Brief context (grade, subject, lesson phase observed)
2. Domain-by-domain observations (cite specific evidence from the notes for each domain you observed)
3. Strengths (2-3 specific, evidence-based strengths)
4. Areas for Growth (1-2 specific, evidence-based growth areas — frame as "continue developing" not "you failed")
5. Next Steps (2 specific, actionable steps for the teacher)
Tone: Coaching-oriented, not punitive. Assume the teacher is a capable professional working to improve.

What you should see: A template you can save and reuse every week.
During the observation, take notes in whatever format works for you: shorthand, bullet points, sentence fragments, even voice memos you transcribe. Focus on capturing:
What you should see: Your raw, messy notes. Even 5 to 10 bullet points is enough.
Troubleshooting: If your notes are very sparse, add a bit more context when you paste them: "I was in a 3rd grade math class during the independent practice phase, approximately 25 minutes into a 60-minute period." Context helps the AI write a more specific and useful write-up.
What you should see: A 300 to 500 word observation write-up in the Danielson framework, with specific evidence cited and actionable next steps.
Read the output carefully. Check:
Make any corrections directly in the ChatGPT text by saying "Change the next steps to focus on exit ticket design specifically" — it will update.
What you should see: A write-up that's 90% ready to copy into your evaluation system.
Copy the final text into your formal observation platform (your HRIS, Google Doc, or district system) and send to the teacher.
For a formal evaluation observation:
This is a summative observation for [Teacher Name]'s annual evaluation. Formal tone required. Use Danielson Framework. Provide a summary rating recommendation (Ineffective/Developing/Proficient/Distinguished) for each domain observed, with evidence. Notes: [paste]
For a brief informal walk-through:
Convert these 5-minute walk-through notes into brief, informal feedback I can share via email or a sticky note on the teacher's desk. Keep it under 100 words — 1 strength, 1 question or suggestion. Notes: [paste]
For a struggling teacher:
Convert these observation notes into formal feedback for a teacher who is in a development plan. Tone must be direct but professional. Focus growth areas on the 1-2 most critical patterns. Include an explicit statement connecting today's observation to their development plan goal. Notes: [paste]. Development plan goal: [describe]
