What This Does

Google Docs' built-in AI features let you rewrite selected passages, update policy language, and draft new handbook sections without leaving the document. For annual handbook updates, this means you can revise each changed section in place, maintaining consistency with the surrounding document rather than pasting in new text from a different tool.

Before You Start

  • You have a Google account with Google Docs access (free)
  • Your student/family handbook is already in Google Docs (or you can upload a Word doc to Drive)
  • You know which sections need to change this year (make a list beforehand)

Steps

1. Open your handbook in Google Docs

Navigate to drive.google.com → find your handbook document → click to open. If it's a Word file, right-click → Open with → Google Docs.

2. Find the Gemini / AI features in Docs

Look for the Gemini sparkle icon in the right sidebar or in the toolbar. In some versions, click HelpHelp me write or look for the sidebar labeled Gemini in Docs. You can also highlight any text and right-click to see an "Ask Gemini" option.

3. For updating a specific section: highlight it first

Select the text you want to update (e.g., your attendance policy paragraph). With the text highlighted, right-click and choose Ask Gemini to refine or use the sidebar to type your update instruction.

4. Type your update instruction

Example: "Rewrite this attendance policy section to include our new state law requirement: students missing 15 or more days require a formal Attendance Improvement Plan meeting with the administrator. Keep the existing tone and format."

What you should see: A revised version of the paragraph with your new requirement integrated, maintaining the style of the surrounding text. Troubleshooting: If you don't see the Gemini option after highlighting text, try accessing it through the Extensions menu or the Gemini sidebar on the right.

5. For drafting a new section from scratch

Click at the point in the document where the new section should appear. Open the Gemini sidebar and type:

"Draft a new section for our student handbook about cell phone use policy. Our policy: phones must be kept in lockers during the school day; confiscated if visible in class; returned to parents on first offense, second offense requires parent pickup. Include: policy statement, consequences, and exception process."

6. Review and accept or edit

Gemini inserts a draft in a suggested text box. Read it carefully, then click Insert to accept or type additional refinements.

7. Check consistency across the full document

After updating multiple sections, use EditFind and replace to search for old policy language that might still appear elsewhere in the handbook. Ask Gemini: "Does this section conflict with the attendance policy we just updated on page 4?" (paste both sections in the Gemini sidebar).

Real Example

Scenario: Your state just passed a new law requiring schools to notify families within 24 hours of any physical altercation. Your current handbook says "within 3 school days." You need to update the discipline section and parent notification section in your 45-page handbook.

What you do:

  1. Open the handbook in Google Docs
  2. Use Ctrl+F to find the relevant sections
  3. Highlight the first section → right-click → Ask Gemini to refine: "Update this to require parent notification within 24 hours instead of 3 school days, per [state] law effective [date]. Keep the rest of the policy language intact."
  4. Repeat for the second section

Total time: 15 minutes to update both sections vs. 45 minutes of careful editing to maintain consistent language.

Tips

  • Use Gemini to "simplify this section for a parent reading at an 8th grade level." Parent handbooks often contain overly legalistic language that families don't actually read.
  • After making changes, ask Gemini to "identify any sections of this handbook that may conflict with the changes I just made." Paste in the sections you changed.
  • Save a backup copy before using AI to make changes: File, Make a copy, label it "Handbook 2025 pre-AI edits"

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
